We Will Count On You To:

Answer multi-line phone and route calls appropriately

Greet and assist visitors

Process outgoing mail and shipments and route incoming mail and shipments

Order office supplies
-
Facilitate office machine maintenance and supply
-
Serve as building maintenance and emergency contact during business hours

Manage field supplies
-
Coordinate company vehicle maintenance and scheduling, and communicates with fleet manager
-
Coordinate conference scheduling, food or equipment needs and set-up and clean-up
-
Coordinate workstation set-up and organization
-
Perform archived file maintenance, office library organization, and overall office document management
-
Coordinate general office organization
-
Track staff out-of-office
-
Assist with coordination of company events and conferences
-
Provide travel coordination and support to the office
-
Provide front desk backup
-
Provide overall administrative support to the office
-
Maintain cooperative and productive working relationships and communications with all employees and participating effectively as a team member

Respond with commitment and sensitivity towards satisfying the needs of internal and external customers

Organize and prioritize work assignments to complete assignments/tasks on time and with quality
-
Ability to manage deadlines appropriate to need

Performs other tasks as needed
Technical Responsibilities:

Create, update, and distribute business-related documents
-
Provide proofreading and editing for contracts, proposals, reports, correspondence, scopes of work, and other documentation as needed

Compile reports and technical documents

Provide proposal, SOQ, and other marketing support as needed
-
Document and correspondence quality review
Required Qualifications:
-
High School Diploma or GED
-
4-5 years of administrative experience in a professional services environment

Microsoft Office (Word, Excel, Outlook, PowerPoint)

Adobe Suite
